Job Description
The Office Coordinator plays a critical role in ensuring the efficient and professional operation of the Office of Digital Learning at the University of Tennessee. This position serves as an administrative partner to unit leadership, providing expert-level support in administrative processes, financial coordination, procurement, facilities management, and event logistics.

Responsibilities
General Administrative Support
- Act as the primary administrative partner for the Digital Learning location, ensuring efficient daily operations and the seamless execution of unit-wide initiatives.
- Proactively evaluate and improve administrative processes, presenting actionable recommendations to leadership and overseeing successful implementation.
- Deliver high-caliber customer service to a diverse range of internal and external stakeholders, embodying the department's professional and inclusive culture.
- Research, analyze, and resolve complex administrative and operational issues within institutional guidelines, exercising sound judgment and confidentiality.
Logistical Support
- In collaboration with the Assistant Dean of Finance & Administration, design, document, and oversee internal procedures to support operational consistency and team alignment with university policies.
- Manage procurement workflows, including supplies, equipment, and vendor engagement, in alignment with UT fiscal regulations.
- Maintain responsibility for annual space inventory and ensure facility needs are addressed proactively through strong vendor and building liaison relationships.
- Coordinate office access and security logistics, including onboarding and offboarding of staff and student employees.
- Assist Executive Directors in coordinating meetings across university departments and leadership units.
- Serve as the logistics lead for all departmental events and meetings-organizing materials, securing spaces, and managing fiscal compliance.
- Oversee outgoing mailings and staff onboarding logistics, including equipment and workspace readiness.
Financial Support
- Monitor and reconcile procurement card transactions and departmental expenditures in collaboration with the Assistant Dean of Finance & Administration.
- Prepare purchasing reports, budget tracking documents, and office inventory updates to support informed decision-making.
- Assist with expense reporting, ensuring accuracy and adherence to policy.
- Maintain a professional and welcoming physical space for all visitors, guests, and collaborating units.
- Serve as the department's primary facilities contact, coordinating maintenance, access, and equipment needs to ensure an optimal work environment.
- Act as parking representative for Digital Learning
- Coordinate routine exterior landscaping with landlord
Facilities & Operational Oversight
- Maintain a professional and welcoming physical space for all visitors, guests, and collaborating units.
- Serve as the department's primary facilities contact, coordinating maintenance, access, and equipment needs to ensure an optimal work environment.
- Act as parking representative for Digital Learning
- Coordinate routine exterior landscaping with landlord
Talent Development & Professional Growth
- Supervise and mentor student workers, ensuring productive task assignment, training, and engagement.
- Participate in and promote professional development opportunities, including trainings offered through UTK platforms and external partners.
- Stay informed of administrative, fiscal, and policy updates across the university and integrate best practices into daily operations.
- to ensure understanding of expectations; takes action to mitigate conflict
Qualifications
Required Qualifications
- Education:
- Associates degree with 5-6 years of progressively responsible administrative support experience
or
- Bachelor's degree with 1-2 years of progressively responsible administrative support experience
- Applicants must be legally authorized to work in the United States on a full-time basis without need now or in the future for sponsorship for employment visa status.
- 5+ years of relevant, progressively responsible experience in professional office setting, including some in higher education environment
- Familiarity with the higher education landscape.
